Invoices in PrestaShop: numbering, corrective invoices and good practice
Share:

PrestaShop generates invoices automatically when an order reaches a configured status (for example, “Payment accepted”). These are the things worth checking.

Numbering

  • Consecutive and without gaps, per series.
  • With a year prefix if you restart numbering each financial year (FA2026-).
  • Do not delete orders that have an invoice: cancel them with a corrective invoice.

It is configured in Orders > Invoices: prefix, next number and whether the year is part of the number.

Corrective invoices

In PrestaShop, returns and partial refunds generate credit slips (order slips). Make sure their numbering and template meet the requirements of a Spanish factura rectificativa (corrective invoice): reference to the original invoice, reason and amounts.

Customer details

  • For a full invoice you need the customer’s NIF (Spanish tax ID). Enable the field in addresses and make it mandatory only for businesses, or show an “I need an invoice” option.
  • Intra-EU customers with a valid VAT number can be invoiced without VAT (reverse charge) if you validate the number.

PDF template

The invoice comes from the pdf/ templates of the theme or the core. Customise them in the theme, not in the core, so they are not lost with an update. And check the footer: commercial register details, the company’s NIF and terms.

With Verifactu or TicketBAI, the PrestaShop invoice on its own is not enough: you need a system that chains, records and, depending on the mode, sends each invoice to the Agencia Tributaria (Spanish Tax Agency) or the provincial tax authority.
